Claude, ChatGPT, Copilot, or Gemini? How a small business should choose.

Short answer: start with what you already run. If your business lives in Microsoft 365, look first at Microsoft 365 Copilot. If it lives in Google Workspace, start with Gemini, which is likely already in your plan. If you want the strongest standalone assistant for writing and analysis, compare Claude and ChatGPT side by side on your own work. Then buy a business plan, not personal accounts.

Four questions that decide it
1. Where does your work already live?
AI is most useful when it can see your email, files, and meetings. The tool that sits closest to where your team already works usually wins on adoption.
2. What do you want it to do first?
Drafting proposals and summarizing long documents favor a strong standalone assistant like Claude or ChatGPT. Catching up on email threads and meetings favors the tool built into your suite.
3. How sensitive is your data?
Every option here has a business tier with commercial data protections. If you handle regulated data such as health or financial records, look at enterprise tiers, admin controls, and whether a private AI deployment makes more sense.
4. Who will own it?
A tool with no owner stalls in a month. Name one person who manages seats, settings, and the AI use policy, whichever platform you pick.
Common mistakes
- Letting staff expense personal AI accounts instead of buying one business plan.
- Buying licenses for everyone before a small pilot proves the use cases.
- Skipping the AI use policy, so nobody knows what data is off limits.
- Training on features instead of on the team's real work.
Questions
What is the best AI platform for a small business?
There is no single best. The best fit usually follows what you already run. Microsoft 365 shops should look first at Microsoft 365 Copilot. Google Workspace shops should start with Gemini, which is included in most Workspace business plans. Claude and ChatGPT are strong standalone choices, especially for writing, analysis, and research, and both connect to Google and Microsoft files.
Do business AI plans train on my company's data?
Anthropic states that Claude Team and Enterprise do not train on your data by default. OpenAI states that ChatGPT Business data is never used for training. Microsoft and Google offer commercial data protections on their business plans. Personal and free accounts can have different terms, which is why a business plan matters.
Can we use more than one AI platform?
You can, but start with one. One tool means one policy, one training plan, and one bill. Add a second only when a clear need shows up.
Is Gemini free with Google Workspace?
Google added Gemini features to Google Workspace Business and Enterprise editions starting in January 2025, including Gemini in Gmail, Docs, Sheets, and Drive and the Gemini app. Check your edition in the Google Admin console.
Is Copilot Chat the same as Microsoft 365 Copilot?
No. Copilot Chat is included with eligible Microsoft 365 plans and is grounded on the web. The paid Microsoft 365 Copilot add-on works inside Word, Excel, PowerPoint, Outlook, and Teams, and understands your work data like email, files, and meetings.
