Short answer: pick one business-grade platform, configure the data settings before anyone logs in, write a two-page AI use policy, train on real work, and measure use at 30 days. The checklist below breaks that into 25 steps.

PHASE 01

Decide: Pick the platform and the plan

  • List the tools your team already runs on: Microsoft 365, Google Workspace, or something else.
  • Write down three to five tasks that eat the most hours each week.
  • Find out which AI tools staff already use on their own. Ask; do not assume.
  • Choose one platform for the whole company. One tool, one set of rules.
  • Buy a business or enterprise plan, not personal accounts, so company data gets business protections.
PHASE 02

Set up: Configure it before anyone logs in

  • Create the organization account with a company-owned admin email, and name a backup admin.
  • Turn on single sign-on or require multi-factor sign-in, whichever your plan supports.
  • Review data settings: training on your data, chat retention, and sharing defaults.
  • Connect only the apps you need at first, such as email, calendar, and files. Add more later.
  • Invite a pilot group of three to five people before the whole company.
PHASE 03

Set the rules: Write an AI use policy people will read

  • Name the approved tool and ban work use of personal AI accounts.
  • List data that never goes into AI: passwords, payment card numbers, Social Security numbers, and anything your contracts restrict.
  • Require a human to review anything sent to a customer or used for a decision.
  • Say who to ask when someone is unsure. One name, not a committee.
  • Keep it to two pages. Get it signed off by the owner and add it to the handbook.
PHASE 04

Train: Teach the work, not the buttons

  • Run a live session using real examples from your own business.
  • Teach the basic request pattern: the role, the task, the context, and the format you want back.
  • Give each role five prompt starters for their actual job.
  • Pick two or three power users to help everyone else day to day.
  • Record the session for new hires.
PHASE 05

Stick: Make it a habit and measure it

  • Build three starter use cases end to end with the people who do that work.
  • Check the admin usage dashboard at two weeks and at 30 days.
  • Ask each person what they use it for. Share the best answers with the team.
  • Retire what is not working. Double down on what is.
  • Review the policy and settings every quarter. Vendors change features often.
